Is this the role for you?

We’re seeking a highly organised and proactive Personal Assistant to support the SVP, Chief Marketing Officer alongside VP Production and VP VCreative (our in house creative agency.) This role is a key ambassadorial position within the Marcomms and wider Programming team in the UK ensuring the seamless integration of the team and the team’s output with other strategic services and operational teams. We are looking for a motivated and experienced PA who is committed to building lasting relationships.

 

What will you be doing?

  • Organise all local and international meetings arranged by the Marcomms team providing follow-up where necessary.
  • Understanding the CMO, VPs and the team’s priorities as they change from week to week and to help them to deliver on them
  • To be an ambassador for the CMO and the VPs dealing with all matters proactively and efficiently, seeking input as needed
  • Pro-actively managing diary and contacts and working closely with the other PAs and EAs across the business
  • Manage time effectively and thoughtfully
  • Providing highly confidential administrative support service with a degree of tact.
  • Liaising with other senior leaders’ offices, both in the UK, Internationally, as well as external partners; to process requests, transfer information, enabling national and international co-operation in a timely and efficient manner
  • Prepare information for meetings and respond to any information requests
  • Organise meetings (participant availability, meeting room booking, equipment and refreshments; meet visitors to ensure the best impression and a professional image is maintained)
  • Assist CMO in pulling together power point presentations, meeting agendas and materials
  • Organise travel and attendance at external meetings and functions
  • Organise all business travel locally and internationally; liaise with travel companies, arrange flights, currency, hotels and provide complete itineraries
  • Organisation of passenger cars and couriers
  • Responsible for all filing and administration to include regular re-organisation and archiving to reflect the continuously changing needs of the media environment; ordering or stationary, ensuring cupboards are stocked and tidy
  • Responsible for general office administration such as dealing with invoices/POs and the legal billing system; ensuring they are coded correctly and processed for payment, faxing, photocopying and binding, keeping database up to speed, and liaising with the finance dept/suppliers to rectify any problems
  • Manage expenses claims and track payment by Finance Department
  • Deal with and respond to emails and/or correspondence as and when directed
  • Arrange social events/activities as needed
  • When appropriate drive teamwork and foster a collaborative team environment
  • Embrace the ‘One ViacomCBS’ approach and encourage collaboration
  • Be an ambassador for all VCNI channels, internally and externally
  • Adopt and promote the ViacomCBS values and support a culture of inclusion
  • Any other reasonable duties as directed

 

What are we looking for?

  • Proven PA experience to an Executive Leader within a Global organisation
  • Pro-active, self-starting mentality with established broad skillset to organise beyond purely just diary management
  • Exceptional organisational skills (for yourself and the people you support) and the ability to multi-task, whilst demonstrating flexibility when required
  • Demonstrable communication skills both verbal and written; with an ability to assimilate information and disseminate appropriately to audiences
  • You have experience coaching on administrative and executive support tasks and projects, communicating effectively with varying personalities and styles
  • You have worked collaboratively with or have lead employee engagement initiatives across a department or organization (offsite planning, conference planning, company-wide events)
  • You have an interest to network within the EA industry to gain insight on how to stay competitive and relevant
  • You readily adapt personal, interpersonal, and leadership behaviour, tailoring the approach for different audiences
  • You are a creative problem solver with impeccable organizational skills, time management skills, and an ability to adapt to change
  • A commitment to delivering high levels of service to both internal and external contacts, and completion of tasks to the very highest standards
  • Proven ability to build strong relationships, both internally and externally
  • The ability to work effectively, both independently and in harmony with all levels within the organisation
  • Expert level IT skills across all MS Office applications, with the ability to rapidly understand other corporate systems.
  • Skills in PowerPoint, with an ability to create professional standard slides and high levels of attention to detail
